What To Include in Your Final Wedding Checklist.
Full Details of Your Wedding Suppliers
These are details that you most likely have floating around in your inbox or phone but it’s really important to put together a complete list of everything in one place including contact names, telephone numbers and email addresses. You should share this information with all of your suppliers and your wedding party & the throwing of the bouquet.
Full Details of Your Wedding Party
Make a list of all phone numbers including The Mother & Father of The Bride, The Mother & Father of the Groom, The Maid of Honour, The Best Man, The Bridesmaids and The Ushers. Again it’s useful to share these details with all suppliers so that you’re not bothered with endless questions on your wedding day!
Your Key Timings for The Day
This should include on the morning responsibilities, the ceremony, the drinks and canapé reception, the wedding breakfast, the speeches, the arrival of the evening guests, the cutting of the cake, the evening meal, the first dance. Your wedding day itinerary should then go into more specific detail of timings for the day.
Your Flowers
It sounds over the top but it’s always worth re-listing exactly what floral elements are going to be there on your wedding day. Sharing this with your florist a couple of weeks before your wedding can help you to identify any discrepancies between what you and the florist might have in mind. For us this is something that we always like to double check. Florists are often under a great deal of pressure - sometimes even delivering to more than one wedding in a weekend! Of course the florists that we work with are always careful to include a full breakdown of exactly what will be delivered, updating it constantly as we develop your floral design concept together - which can change considerably between the initial proposal stages and the day itself.
Your Styling & Decoration
Decide and note down who is responsible for various styling & decoration elements such as making sure that your order of ceremonies get to the church and that they are handed out, and that your wedding stationery is placed in the right position (perhaps even include a quick sketch or a photo to illustrate how you would like your table settings to appear so that nobody gets confused). Establish where you would like your seating plan to be placed and who by. If you’re having a guestbook, card & gift table and a wedding cake table, make sure that you list where they’re going to be, check that they’re big enough and determine who will be providing the cake/knife stand (this isn’t always something the cake designer includes). It’s a really nice idea to put together a vanity/essentials kit for the Ladies (and sometimes even the Gents) toilets including mints, hairspray, deodorant, tights, plasters, hair grips/bands etc. Make sure that all of your efforts don’t go to waste and that someone is responsible for making sure that they’re placed where they need to be.
Your Photography & Videography Details
Make sure to note down the planned arrival times of your photographer and videographer. In our eyes a good artist should have already helped you put together a list of formal and detail shots that you really want to include so that nothing get's forgotten (but it’s not essential that you do this). Again you should share this list with your wedding party and also give someone specific the responsibility to make sure that everyone turns up for their formal shots - allowing the photographer the opportunity to actually focus on taking beautiful photos!
Your Final Payments
List any final payments that are due to suppliers and determine whether you will be paying them before the day or on the day itself. If on the day, make sure that you know who is responsible for ensuring that this gets done.
Your Wedding Insurance Details
Incase of any unexpected emergencies, it’s always good to have noted down your policy number and important contact details. Keep them in a safe but accessible place should you need them on the day!
Your Music
Make a list of all of your key music choices including music for whilst guests are being seated at the ceremony, your entrance song, the signing of the register, the hymns (if applicable), your exit song, your drinks and canapé reception, your wedding breakfast, your first dance & your last dance/send off.
Your Catering Details
Make sure to list your final guest numbers including any dietary requirements and children. It’s also worth providing all suppliers with a copy of the table plan, reconfirming the number of bottles of wine & water per table and finalising the number of drinks & canapés required now that you have your final numbers. Details such as whether the evening bar will be paid or open, whether you want to save the top tier of your wedding cake and exactly how many supplier meals are required should also be listed and shared with the caterers. And lastly as the most important meal of the day, it’s essential that you make sure that someone is responsible for making sure that the bridal party is fed some breakfast on the morning of your wedding!
Transport
Make sure that transport has been arranged for all of your wedding party, and that everyone knows how they are getting to and from your wedding ceremony and reception. Share everyone’s contact details with your wedding party and transport suppliers to make sure that you’re not bothered by anyone on the day!
Wet Weather Plan
Make sure that you have a contingency plan in place for bad weather. Have you considered umbrellas, walk ways for guests and a place for smokers incase it’s raining?
Your Announcements
Note down the timings and who will be responsible for announcing the throwing of the bouquet, the call to dinner, the seating of the bride & groom, the cutting of the cake, the first dance & the send off.
Parking & Access
If your wedding is at a venue, make sure to discuss and finalise access arrangements for all of your suppliers and parking for your guests. If someone needs to be responsible for directing cars when parking, make sure to decide who this will be and share their details with all of your suppliers and your venue before your wedding day.
Your Honeymoon Details
If you’re going on your honeymoon on the day of your wedding or the following day, make sure to note down your flight details and any important last minute items that you need to remember. Also don’t forget to check in for your flights and print your boarding passes!
